RETAILHAWK MIGRATION CHECKLIST Buyer-facing planning aid — reviewed 12 October 2026 1. DISCOVERY [ ] Inventory programmes, clients, locations, users, questionnaires, results and evidence. [ ] List integrations, exports, scheduled jobs and external questionnaire providers. [ ] Record retention obligations and data that should not move. [ ] Name business/data owners and cut-over approvers. 2. MAP AND CLEAN [ ] Map source fields to target fields and document transformations. [ ] Separate required, optional, derived and retired fields. [ ] Resolve duplicates, invalid statuses, orphaned records and incomplete references. [ ] Decide what will be archived rather than migrated. 3. QUESTIONNAIRE / INTEGRATION DECISIONS [ ] Decide which questionnaires move and which remain with an external provider. [ ] Define how external completion is evidenced. [ ] For each integration define data/event, auth, identifiers, retries, owner and fallback. 4. SYNTHETIC VALIDATION [ ] Build representative non-customer test data. [ ] Exercise role, assignment, questionnaire, evidence, QA and reporting paths. [ ] Test return/correction, withdrawal and incomplete-evidence cases. [ ] Reconcile counts, identifiers, dates, statuses and ownership. 5. PARALLEL RUN / REHEARSAL [ ] Select a bounded programme/sample for parallel validation where appropriate. [ ] Rehearse source freeze, export, transform, import, reconcile and communications. [ ] Record acceptance thresholds and unresolved exceptions. 6. CUT-OVER / CONTINGENCY [ ] Name the go/no-go decision maker and decision evidence. [ ] Define the latest safe stop point. [ ] Preserve agreed source/archive access. [ ] Document rollback/contingency communications and system of record. 7. POST-CUTOVER [ ] Confirm representative login/role access. [ ] Run an end-to-end assignment → submission → review → release journey. [ ] Verify reports/exports and agreed integrations. [ ] Reconcile migrated counts, history and evidence attachments. [ ] Track migration defects separately from training/support questions. [ ] Schedule review after the first live programme cycle. NOTE A migration plan reduces uncertainty and risk; it does not make migration risk-free. Adapt this checklist to your own contractual, regulatory, retention and operational requirements.
